Who we are

Bill By Chat ("Bill By Chat") is operated under the Bill By Chat business name and is the data controller for the personal data described in this notice.

What we collect and why

• Invoice content — the details, messages, and documents you provide to create invoices, plus the invoices themselves. Used to provide the service (legal basis: performing our contract with you).
• A random browser token — Bill By Chat has no accounts. We store only a one-way hash of a random token from your browser so you can find your invoices again. We cannot identify you from it.
• Usage and technical data — IP address, device and browser information, and how you use the service. Used for security, fraud prevention, and improving the product (legal basis: legitimate interests).
• Support messages — if you contact us, we keep the conversation to help you (legal basis: legitimate interests).

Payment details for Bill By Chat upgrades are collected and processed by Stripe — we never see your card number.

Who we share data with

• Service providers — hosting, database, and AI processing providers that run Bill By Chat, bound by data-processing terms.
• Stripe (including Link) — our payment processor, for card payments, subscriptions, receipts, tax calculation and compliance, and fraud prevention.
• Professional advisers — legal and accounting, where needed.
• Authorities — where required by law.

Retention

We keep invoice data while your links are active and for a reasonable period afterward, then delete or anonymize it. Because invoices are tied to your browser token, clearing your browser data removes your access to them.

Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or port your personal data, to object to processing, and to withdraw consent. If you're in the UK or EEA, you can also complain to your data protection authority; we respond to requests within one month. Contact us to exercise any of these rights.

International transfers

Our service providers may process data outside your country, including outside the UK/EEA. Where they do, we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

Security

We use appropriate technical and organizational measures, including encryption in transit and access controls, to protect your data.

Cookies

Bill By Chat uses only essential browser storage (your owner token and saved payment preferences). We don't use advertising or marketing cookies. You can clear this storage anytime in your browser settings.

We may update this notice; the "last updated" date above shows the current version.
